DATA PRIVACY POLICY

RECORDS AND ADMISSIONS OFFICE

This privacy policy explains how we handle personal and sensitive data of our students as defined by RA 10173 otherwise known as the Data Privacy Policy Act of 2012 and its implementing rules and regulations, while upholding our legitimate interests and effectively carry out our responsibilities as an educational institution.

Thus, this Terms of Agreement constitutes our contract with your child. Please read and review carefully before you click the agree button. By clicking, you acknowledge that you have read the entire IRR and that you have fully understood it and agree to be bound by and comply with them.

  1. Generated, Acquired or Collected Information
    1. Collected information upon your child's admission.

      When your child applied for admission to San Lorenzo Ruiz de Manila School, you provided us, through the forms you submitted, signed, and encoded in the Parent Portal,

      1. Personal Information (name, address, telephone numbers, gender, birthplace, birthdate, citizenship, and other contact details).

      2. Sensitive Information (age, religious affiliation, family history, academic performance, and other information necessary for admission to our school.)


    2. Collected information during your child’s stay in Lorenzo.

      During your child’s school years with us, we also collect additional data that include:

      1. Academic Records – subject grades, conduct grades and school attendance.

      2. Extra-curricular activities – Club grades, pictures, and videos of the club outputs.

      3. Marketing Materials- May include photos of your child during classes, subject outputs that may include your child’s name and section.



  2. How Your Child’s Information is Used

    We use your child’s personal & sensitive information in compliance with all the relevant laws, fulfill our legal obligations and pursue our legitimate interests, as an educational institution. These may include:

    1. Processing your child’s admission to our school

    2. Recording, generating, and maintaining your child’s records of academic, co-curricular and extra-curricular activities.

    3. Maintaining our data system.

    4. Compiling and generating reports for statistical and research purposes

    5. Providing information to offices with legitimate official need for academic purposes such as adviser’s record, deliberations, and evaluation of student performance

    6. Processing of scholarship applications, grants and others forms of financial aids.

    7. Promoting our school through your child’s subject outputs on our official social media accounts like Facebook and Youtube.


  3. How Your Child’s Information is Disclosed, Transferred and Shared

    As a rule, we share, disclose, or transfer your child’s personal and sensitive information with your consent and if it conforms to the law in order to uphold your interests and/or purpose our legitimate interests as an educational institution. These include:

    1. Your child’s academic grades or honors and co-curricular or extra-curricular achievements with schools your child wishes to enroll or transfer upon request.

    2. Sharing academic progress, and co-curricular and extra-curricular activities with you, parents/guardians.

    3. Encoding your child’s personal and scholastic grades in the Learners Information System (LIS) of the Department of Education (DepEd).

    4. Providing the Principal & Academic Director of the loyalty awardees in preparation for and during commencement exercises.

    5. Complying with court orders, subpoenas and/or other legal obligations.

    6. Providing information to internal research or surveys for institutional development.

    7. Marketing or advertising the school, and its activities and events.

    Guidelines in Disclosing Your Child’s Confidential Records

    1. Your child is entitled to a transcript of records, but he/she is not entitled to know other records in his file which are confidential in nature e.g. recommendation letter from other school and references.

    2. Your child has the right to see his/her academic records, academic grades in the Parent Portal and is entitled to any explanation of any information recorded on it.

    3. Your child’s file or folder cannot be taken out of the office unless specially authorized by the Registrar, depending on the purpose for which is needed.

    4. School officials and faculty member may be permitted to look at the academic records of any student if needed in the evaluation of the academic standing of the student concerned.

    5. Requests for the production of your child’s record from the court are usually on a dully issued subpoena duces tecum, but your child must be notified of said subpoena if he is available or if he can be reached through any media of communication.

    6. Records of grades may be released to you, parents or guardians, without prior approval of your child if he/she is still a minor or have not yet been emancipated from parental authority.

    7. Your child’s transcript of academic records should only contain information about academic status. Other matters such as disciplinary may be recorded to determine readmission.

    8. All requests regarding disclosure of your child’s academic record should be in writing and filed with his/her folder.


  4. How Your Child’s Information is Stored and Retrieved

    Your child’s personal and sensitive information is securely kept in a variety of paper and electronic formats. Access to your child’s data is limited only to school personnel who have a legitimate interest in them so they can carry out their duties and in accordance with the declared purpose for which the personal and sensitive data were collected.

    We will retain your child’s relevant data indefinitely for historical and retrieval purposes.


  5. Your Rights with Respect to Your Child’s Personal Data

    We recognize your rights with respect to your child’s data, as provided by the DPA. Should you have any concern of question you may contact San Lorenzo Ruiz de Manila School.

  6. Changing This Policy

    We may update or make changes to this Data Privacy Policy without explicit prior notice in response to changing legal and school policies. On such occasions, we will take appropriate measures to inform you through or others measures to inform you through our websites or other means of communications.


On behalf of the applicant/student, I attest that I have had sufficient opportunity to read the entire Policy and the Terms herein written, and legally agreeing to the above terms and conditions. I hereby understand that this document is legally binding upon execution even without notarization.



SOCIAL MEDIA POLICY

FOR ALL RUIZIAN PARENTS AND GUARDIANS:

San Lorenzo Ruiz de Manila believes in the inviolability of personal information and identity and the rights of individuals to Data Privacy per Republic Act 10173 (Data Privacy Act of 2012). Thus, SLRMS is committed to the protection and responsible use of such information through the SLRMS Social Media Policy (SMP).

Social networks have become a convenient way of disseminating information that may be helpful and harmful at the same time. To maximize the advantages and avoid the disadvantages of the use of social media, Ruizian parents and guardians, students, and employees are expected to read, understand, and adhere to the Social Media Policy of the school, which is posted in our Facebook Account.

CHAT GROUPS

Respective Grade Level group chats are created for the use of the students, parents, and the class adviser of the section with the consent of the parents in the group chat

The group chat is limited to the following:

  1. Making announcements and reminders regarding school-related activities

  2. Sharing of pictures and videos of class activities

CONTENT

  1. The SLRMS logo or structure may not be used without prior authorization from the school’s administrators.

  2. Posting or sharing any SLRMS proprietary or confidential material and information is prohibited such as but not limited to examinations, quizzes, etc.

  3. All photos, videos, status updates, and comments must preserve and promote respect among members of the Ruizian community.

    Photos, videos, links, opinions, information, and advice one shares and expresses, if inappropriate, may affect not only the reputation and integrity of the school but also of others connected to it. All must keep in mind that as long as an individual is part of the SLRMS, he or she is considered a Ruizian.

    Therefore, one must keep in mind the following when posting comments and information online:

    1. Gossiping and trash-talking about any person, a group, or about the school or any member thereof, is unacceptable. These acts are sanctionable under the SLRMS Code of Discipline.

    2. Complaints, negative comments, arguments, personal attacks, use of offensive words, and the like must be avoided at all times. There is a proper protocol and a forum for any personal and/or school-related concerns.

    The school reserves the right to take legal action against any person who casts aspersions against the integrity of the school.


  4. All are responsible and accountable for any information and link shared on social media. Whenever possible, always trace and quote or paste the link of the source of information shared online.

  5. In the event that a person gets involved in a case related to the use of social media, he or she should provide evidence that would help in the investigation of the case. The gathered evidence such as screenshots of conversations, digital copies of photos, etc. will only be utilized and shared with the Disciplinary Board and the persons involved in the case solely for investigation and deliberation purposes only.

PRIVACY
  1. All are encouraged to study and scrutinize the privacy settings of their social media accounts.

  2. Everyone is encouraged to take precautionary measures in uploading personal files and sharing personal information such as birth date, addresses, cellphone numbers on any public and unrestricted online domains.

  3. Never share information about any of a school community member’s personal information, schedules, activities, contact details, addresses, and so on without the person’s consent.

FRIEND/FOLLOWING/LIKING

Be mindful of who and what to follow and like as this may affect one’s character and integrity as a person and member of the SLRMS community.

ENGAGING/SHARING

Everyone is expected to be respectful and prudent when engaging and interacting among the members of the SLRMS community, may it be in person, in written form, or in social media.

  1. Use polite words and expressions in conversing with others.

  2. Regulate what goes public such as group chats, online forums, and public posts; similarly, discriminate what needs to be kept private through private messaging.

  3. Always validate information received before accepting, reacting, and/or sharing it to others.




FINANCE POLICIES AND GUIDELINES

Greetings of Peace and Unity!

As part of our commitment to continuously provide you with better services, our office would like to seek your kind support and compliance on the following Polices and Guidelines to be strictly implemented this current SY 2021-2022.

BILLING & COLLECTION

  1. Credentials such as but not limited to diplomas, Form 137 & 138, certificates, medals, GMC, and all certifications, will be withheld until full payment has been made.

  2. Proof of Payment done online or thru bank transactions over-the-counter should be uploaded in the Parent Portal for cashier verification and issuance of Official Receipts.

  3. For those in Plans B&C, failure to pay on the scheduled due dates will automatically place them under Plan D (Monthly) wherein pertinent fees will be applied.

  4. Viewing of grades will only be allowed for accounts with updated payments.

  5. An interest rate of 2% per month of delay shall be applied to the outstanding balance in the accounts of late payments until full settlement of dues have been paid.

  6. Parents’/Guardians’ refunds/claims will follow the Policies and Guidelines of the School’s Fund Requests.

  7. For completers and graduating students, only those with clearance from the Finance and other Departmentst can join the end-of-year rites.
